About the Company
  
Revise Recruitment has partnered with the Royal College of Pathologists of Australasia (RCPA) to recruit an Administration Coordinator.
  
RCPA is the leading organisation representing pathologists and senior scientists across Australasia, supporting the profession through education, training, advocacy and professional standards.
  
The College also publishes Pathology, its scientific journal, which shares peer-reviewed research from scientists and researchers around the world.
  
You do not need to understand pathology or scientific publishing to join the team. What matters is being a great administrator who can follow detailed and structured processes simultaneously whilst communicating with multiple stakeholders.
  
About the Role
  
Reporting to the Managing Editor, you will provide the administration that keeps the journal's articles and publishing processes moving.
  
Think checklists, systems, deadlines and lots of attention to detail. You will receive article submissions, check that the required information is there, track them through a structured review process and communicate with authors, reviewers and editors along the way.
  
There can be plenty of back and forth by email, so you will need to be organised, responsive and comfortable following up when something is missing or needs changing.
  
Once articles have completed the review process, you will help ensure everything is accurate and ready to move through to production and publication. It is a process-driven administration role where accuracy, organisation and follow-through matter far more than previous editorial experience.
  
About the Person
  
You could come from almost any administrative background. You might currently work as an Administrator, Team Assistant, Office Administrator, Membership Administrator, Program Administrator or Coordinator. What is more important is how you work.
  
You are naturally methodical and organised. You like checklists, follow processes carefully and notice the small things other people can miss. You are comfortable managing several pieces of work at different stages and do not need someone reminding you what needs to happen next.
  
You will also be a good communicator. While much of the role is systems and process focused, you will regularly liaise with authors, reviewers and internal stakeholders, so you will be confident, professional and comfortable following things up.
  
Duties
  • Receive and process new and revised article submissions
  • Check submissions against journal requirements and guidelines
  • Track articles through each stage of the review and approval process
  • Communicate with authors, reviewers and editors, primarily via email
  • Follow up outstanding information and keep processes moving
  • Maintain accurate information within the online editorial management system
  • Complete quality and compliance checks before articles progress to production
  • Maintain reviewer and distribution databases
  • Provide general administrative support to the Managing Editor and wider team
Skills & Experience
  • Strong administration experience and a genuine enjoyment of detailed work
  • Excellent attention to detail and accuracy
  • A methodical, process-driven approach
  • Strong organisational skills and the ability to keep multiple tasks moving
  • Confidence using Microsoft Office, databases and online systems
  • Strong written communication and professional email skills
  • Good interpersonal skills and confidence dealing with different stakeholders
  • Ability to follow detailed instructions, policies and processes
  • Comfortable working independently and taking responsibility for your workload
  • A can-do attitude and willingness to learn new systems, terminology and processes

Please note the salary listed is the full time equivalent. The salary will be pro rata based on the part time hours.
