The Australian Dental Association Victorian Branch (ADAVB) is the professional association of Victorian dentists. To make the most of the new world of work, we are a hybrid work place. On Tuesday and Thursdays we work together from our office in South Yarra (right next to the station) and other days either from home or office depending on business needs.

About the role
The Events Team Leader is responsible for the successful delivery of all core ADAVB events including educational conferences, trade shows, continuing professional development lectures and workshops; membership engagement events such as awards, social dinners and other activities; in addition to events involving dental schools and other stakeholders. This position ensures our events are at the forefront of outstanding member and/or community experience and impact, always delivered without fuss and within budget.

Key accountabilities

  • Events are contemporary, highly professional and in-demand by members and other prospective participants.
  • Sensitive oversight of member interfaces such as Committees and Local Groups.
  • Coordinating suppliers and contractors, including briefings and logistical oversight.
  • Professional supervision and support of relevant team members.
  • Collaborating on marketing and communication activities to support all events.
  • Adequate and appropriate sponsors and exhibitors are sourced and supported.
  • Managing event logistics, calendars, and deadlines to ensure seamless delivery.
  • Providing outstanding customer service to exhibitors, sponsors and attendees.
  • Exhibitor and CRM databases are accurate and up to date.
  • Traveling to and participating in events (often out of office hours, in the evening and/or weekend) and supporting ADAVB presence at other conferences and/or in regional Victoria or occasionally interstate, including MC responsibilities as necessary.
  • Core secretariat functions for relevant ADAVB committees, such as preparation and distribution of agenda papers and follow up action/ correspondence.
  • Create and manage event budgets, tracking expenses and revenue to ensure events meet financial targets.
  • All events are adequately staffed.
  • Ensure the team maintains a professional image and excellent presentation at all times.
  • Close and timely management of invoices.
  • Design and implement appropriate system and procedures to ensure smooth and efficient running of relevant events.
  • Ensure all policies, procedures and standards and guidelines are complied with.
  • Other duties as directed by the Engagement Manager or CEO.

About you
Formal

  • Events and/or marketing qualification

Experience

  • A minimum of three years of experience in a similar role
  • Outstanding collaboration, negotiation and engagement skills
  • Creativity, flair, and future-focused planning
  • Excellent oral and written communication skills
  • Proven ability to prioritise workloads and manage multiple tasks ensuring timely delivery of services
  • High level of customer service delivery/skills
  • Intermediate to advanced information technology skills (including database management and Microsoft Office applications)
  • Demonstrated ability to operate effectively across multi-disciplinary teams and adapt approach to changes in environment and circumstances
  • Professionalism, including the capacity to work in a complex and confidential environment.
  • Event management experience of all various services required for effective delivery of training activities/programs and events.
