The Australasian Society for Infectious Diseases (ASID) is the peak professional body for infectious diseases and clinical microbiology in Australasia. Our members include infectious diseases physicians, clinical microbiologists, scientists, public health physicians, academics and policy makers – dedicated to advancing the treatment and prevention of infectious diseases. Many of our members worked on the frontline during the COVID-19 pandemic
We are looking for someone to:
- Lead ASID’s growing events program and work closely with ASIDs special interest groups (SIGs), organising committees, Professional Conference Organisers, CEO, Board and other key stakeholders to ensure the smooth organisation and delivery of events and webinars.
Specific tasks include:
- End-to-End Event and Conference Management: Oversee all aspects of ASID events and webinars, including planning, logistics, and execution. This includes managing project plans, tracking budgets and processing invoices.
- Stakeholder Relationship Management: Build and maintain strong relationships with clients, suppliers, conference partners, and internal teams to ensure successful event delivery.
- Budget and Financial Oversight: Manage event budgets, ensuring financial control and alignment with targets. Oversee contract negotiations with suppliers and vendors, and monitor financial performance, preparing regular reports for the CEO and Board.
- Online Registration and Software Management: Manage online registration platforms including setting up registration websites, databases, and online forms for abstracts and documents as well as sourcing registration suppliers where necessary.
- Supplier and Vendor Coordination: Coordinate with third-party suppliers and agencies to ensure smooth execution of event logistics and services.
- Team Leadership: Oversee and manage the workload of the internal conference team, ensuring efficient resource allocation and successful event execution.
- Onsite Event Management: Provide on-the-ground management for conferences and events, ensuring smooth operations and addressing any issues that arise.
- Sponsorship Development: Create sponsorship proposals and secure event sponsors. Develop long-term partnerships and strategies to enhance sponsorship revenue and event success.
- SIG Event Support: Support ASID Special Interest Groups (SIGs) with planning and managing current and future events at both national and international levels.
- Reporting: Prepare detailed performance reports for the CEO and Board, highlighting key event metrics, financial results, and feedback from stakeholders.
- General ASID Support: Assist with other ASID activities as required to contribute to the organisation's broader goals
To be successful in the role, you will possess a combination of the following skills and attributes:
Extensive Event Management Experience: A minimum of 5 years’ experience managing events and conferences, preferably within the membership, association, or healthcare sectors. Proven ability to oversee end-to-end event planning and execution, including national and international events of various sizes.
Proficiency in Event Management Software: Skilled in using event management software such as Eventbrite or similar event software, with the ability to manage online registration, abstract submission, and database tools effectively.
Strong Financial Management Skills: Demonstrated expertise in financial management, including budget development, tracking, and analysis. Proven negotiation skills for securing cost-effective supplier contracts and maximising event budgets.
Sponsorship Development and Fundraising: Track record of developing sponsorship prospectuses and successfully securing event sponsors. Experience identifying opportunities to improve fundraising processes in alignment with the organisation’s mission and values.
Stakeholder and Relationship Management: Excellent communication skills, with the ability to engage and collaborate with a wide range of stakeholders, including clients, suppliers, sponsors, and internal teams, both in-person and virtually.
Collaboration and Marketing Alignment: Ability to work closely with the Communications and Marketing team to ensure event messaging aligns with broader organisational goals and enhances engagement.
Organizational Skills and Multitasking: Strong organisational skills, with the ability to manage multiple priorities, coordinate teams, and handle complex event logistics efficiently.
Attention to Detail and Reporting: High level of accuracy in scheduling, reporting, documentation, and ensuring all event elements are thoroughly tracked and organized.
Technologically Savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), SharePoint, and virtual meeting tools, with the ability to leverage technology to improve event operations and enhance delegate experiences.
Proactive and Solutions-Oriented: A proactive approach to problem-solving and the ability to identify and implement solutions to ensure successful event outcomes.
Professionalism and Discretion: High level of professionalism, discretion, and the ability to always represent ASID effectively.
